Overview

OnStage combines service preparation, people assignments, song materials, and team conversations. That breadth is useful for churches that would otherwise coordinate those tasks separately; teams that only need a presentation tool may find the planning scope unnecessary. The company says the product was conceived in 2023 and released in February 2025. It is headquartered in Santandrei, Romania.

Key features

Events and team assignments

Teams can create events and rehearsals, build setlists, schedule people into positions, and use event templates. Volunteer scheduling, participant assignments, reminders, a service calendar, and team notifications help keep service logistics together. Templates can reduce repeated setup, though the benefit depends on using OnStage for both planning and scheduling.

Song preparation and communication

The library supports chords, lyrics, song structures, PDF imports, annotations, key changes, and capo settings. That makes it more than a basic song list: teams can keep performance materials and adjustments with the service workflow. Team and event chats add messages, attachments, polls, replies, and read receipts, which can keep coordination close to the event but may be redundant for teams already committed to another chat tool.

Calendar and offline access

OnStage can sync events, rehearsals, and blockouts to Google Calendar. Sync is available on iPhone, iPad, and Android, so teams using other platforms should not assume the same calendar integration. The app supports offline access for rehearsals and services, a practical advantage where connectivity is unreliable.

Pricing

Starter is free, does not expire, and does not require card details. It allows up to 5 members, 200MB of storage, and 5 events per month, with reminders, chat, annotations, and PDF song imports. It is a useful starting point for a small team, but the event ceiling can constrain churches scheduling frequent services or rehearsals.

Paid plans share the same features and differ by member, storage, and event limits. 20 Members costs 10.00 USD per month, with 20 members, 2GB, and 25 events per month; it is the entry point for teams that have outgrown Starter. 50 Members costs 26.00 USD per month and raises the caps to 50 members, 4GB, and 100 events. 85 Members costs 50.00 USD per month for 85 members, 8GB, and 150 events. 150 Members costs 60.00 USD per month for 150 members, 11GB, and 200 events. The latter two suit larger teams, with the 150-member tier offering a higher member ceiling for only 10.00 USD more per month than the 85-member tier.

400 Members is 100.00 USD per month for 400 members, 32GB, and 400 events; 1000 Members is 135.00 USD per month for 1000 members, 64GB, and unlimited events. Those tiers address larger organizations whose member or event volume exceeds the smaller plans. Yearly billing is available at 15% off for paid plans. Churches should choose by both team size and event volume: the member tier alone does not guarantee adequate monthly event capacity.

Platforms

OnStage is available on Android, iOS, macOS, and the web. Its Google Calendar sync is limited to iPhone, iPad, and Android, so that capability is not established for macOS or web users.

Who it's for

OnStage is best suited to churches that need recurring service and rehearsal planning, volunteer assignments, song preparation, and team communication together. Small teams can start without a payment commitment; larger teams can scale through several member and storage tiers. It is less compelling for organizations that need only one narrow function or depend on calendar sync beyond the supported mobile platforms.

Pros and cons

Pro: Events, setlists, people assignments, and templates share one planning workflow, reducing the need to coordinate service logistics across separate tools.
Pro: Song materials include annotations and performance settings as well as lyrics and chords, supporting preparation beyond a simple song catalog.
Pro: Starter has no expiry or card requirement, making it possible to keep a small team on a free plan.
Con: Starter's 5-event monthly limit and 200MB storage can make it unsuitable for a busy team even when its 5-member cap is sufficient.
Con: Google Calendar sync is available on iPhone, iPad, and Android, limiting its usefulness for teams relying on other platforms for calendar coordination.
Con: The maker's pages link to a privacy policy but make no specific security certification or compliance claims, which may matter to teams with formal procurement requirements.

Alternatives

Planning Center is worth comparing for churches that want a broader set of free tools, including a Calendar plan for one room and a People plan with an unlimited database and reporting; its Services free plan covers 5 team members.

WorshipTools Presenter may fit teams focused on presentation, with a free tier offering 500 MB of cloud storage, 10 users, and unlimited services and songs, though it limits each service to 15 items.

Assemblea is a web-based option for congregations that need administrative functions such as finances and giving, inventory, and meetings and voting; its free tier allows 50 members and 2 users.

AssemblyFlow offers its full app free to congregations of 50 or fewer members, with one operator and a main worship assembly; it may suit a small congregation that wants that scope without a paid plan.

Ministry Planner offers free tools for churches that want to select individual functions, including scheduling for one team and event planning for one active event.

ServeFlow: Worship Planner is another free option.

c-SPOT is another free option.

WorshipTeam.com is a paid alternative.

Verdict

OnStage is a strong fit for worship teams that want event planning, volunteer scheduling, song preparation, and communication in one service-oriented workflow. Its no-expiry Starter plan lowers the barrier to adoption, and paid tiers provide room to grow. Look elsewhere if your team only needs presentation, requires calendar sync on macOS or web, or has formal security requirements that call for explicit compliance claims.
