Overview

CompassDocs is a self-hosted knowledge base for teams managing procedures, policies, technical documentation and internal guidance. It is best suited to organizations prepared to operate their own software and that value controlled publishing alongside document search. The free Community plan lowers the cost of adoption, but AI answers need an AI key and the managed Cloud service has not launched.

Key features

Authoring and discovery

Teams can edit documents in rich text or Markdown, with support for diagrams, tables, checklists and embeds. AI proofreading adds an editorial aid, while plain-English questions can return answers based on team documents with inline citations. That citation trail is useful when readers need to verify an answer against its source; without an AI key, CompassDocs reverts to keyword search, so conversational discovery is not included by default.

The Outlook add-in brings search and AI answers into the mail client and can insert a document link from the ribbon. Other listed connections include a Claude connector, Microsoft 365 and Entra sync, Google Workspace directory sync, and notifications through Webex, Teams, Slack, email or webhooks. This gives teams several ways to connect existing identity and communication workflows, though the AI-key dependency remains relevant.

Governance and publishing

Viewer, Editor, Approver and Admin roles, custom roles, private spaces and an optional review queue support a more deliberate publishing process than an unrestricted shared folder. Version history, read acknowledgements and completion tracking suit policies and SOPs that need to be reviewed or confirmed. Selected spaces can be published as a branded, read-only public site; sharing is off by default, and search-engine indexing is configurable.

The feature page states that credentials and backups are encrypted at rest with AES-256-GCM, session tokens are hashed, and login throttling and security headers are included. Enterprise adds SAML 2.0 and OIDC single sign-on, SCIM provisioning, and Microsoft 365 directory and Entra group sync, making it the plan aimed at organizations with centralized identity requirements.

Deployment and operations

A Docker command starts CompassDocs and PostgreSQL. The self-hosting guidance covers Linux with Docker, macOS or Windows through Docker Desktop, and manual Node.js and PostgreSQL installation on any OS. Scheduled database backups, retention, one-click restore and off-site mirroring to S3, R2, MinIO or Azure offer useful recovery options, but self-hosting also means the team must own deployment and upkeep. CompassDocs is identified as an open-source project under the GitHub account mattny20.

Pricing

Community: $0 forever. The self-hosted AGPL-3.0 plan includes unlimited users and documents, with community support through GitHub. It is the practical starting point for teams able to manage their own installation; it does not include the Enterprise identity and administration package or dedicated support.

Cloud: $8 per user per month, billed at $8 per user per month, from. The listed managed plan includes 25 GB of document and attachment storage and is described as coming soon. A free trial with no credit card is planned for launch. Since Cloud has not launched, teams needing managed hosting now should not treat it as an available deployment option.

Enterprise: $599 per year, flat, for unlimited users and one license per install. This self-hosted plan adds SSO, directory and group sync, policy acknowledgements, training, SCIM and audit-log export. It is the fit for organizations that need those controls without per-seat pricing; teams that do not need them can start with Community.

Dedicated support add-on: $3,000 per year for optional support with a 48-hour response commitment. That is a substantial additional annual cost, best reserved for teams that need the stated response commitment.

Platforms

CompassDocs lists API, Linux, macOS, self-hosted, web and Windows support. The deployment options include Docker on Linux hosts, Docker Desktop on macOS and Windows, or manual Node.js and PostgreSQL installation on any OS. These options favor teams with infrastructure capacity; Cloud is not yet launched for teams seeking a managed alternative.

Who it's for

CompassDocs suits teams consolidating SOPs, technical documentation, policies and internal knowledge that need role-based access, review controls and traceable answers. Its free unlimited-user self-hosted plan is particularly compelling for teams comfortable operating open-source software. Organizations requiring managed hosting today, or unwilling to supply an AI key for cited AI answers, should look elsewhere.

Pros and cons

Pros

Unlimited users and documents on the free plan: teams can build a self-hosted knowledge base without a seat or document cap.
Useful governance depth: custom roles, private spaces, review queues, acknowledgements and completion tracking address controlled documentation workflows.
Operational flexibility: multiple self-hosting methods and off-site backup targets give teams choices for deployment and recovery.
Cited AI answers: inline citations help readers trace responses to team documents when an AI key is configured.

Cons

AI depends on a key: without one, the product falls back to keyword search rather than answering questions in plain English.
Cloud is not yet launched: the $8 per-user monthly plan cannot currently serve teams that need managed hosting.
Enterprise features cost extra: SSO, SCIM and directory/group sync require the $599 annual Enterprise license, while dedicated support adds $3,000 per year.
Self-hosting carries operational responsibility: teams must run and maintain the application and database themselves.

Alternatives

For infrastructure and service-runbook workflows, Rundeck is a free Community option for small teams, with a paid PagerDuty Runbook Automation plan; choose it when runbook automation, rather than a broad document knowledge base, is the priority. StackStorm is a free, open-source project with no paid products, a better fit when the need is an open-source automation platform rather than governed knowledge documentation.

Danbyte offers a free, self-hosted open-source option with no seat license, enterprise tier or license expiry; it may suit teams seeking those terms. ITFlow is also free and open source for self-hosting, with hosting and sponsor support as paid services, making it another option for teams prioritizing a free self-managed deployment.

For paid IT documentation products, Hudu starts at $30 per month with no user minimums and offers a free trial; IT Portal has cloud and on-premises plans but no free plan or free trial. IT Glue starts at $29 per user per month on a 36-month term, with a five-user minimum and onboarding fee, so its stated entry terms are a key consideration. FNT Command is a paid alternative with a €99-per-month Asset Inventory plan billed annually. Pick among them when their paid IT-focused offering better matches the purchasing or deployment constraints.

Verdict

Choose CompassDocs if your team wants a self-hosted, open-source knowledge base with meaningful approval controls, flexible authoring and cited answers, and can manage the deployment and AI key. Its unlimited-user Community plan makes that approach unusually accessible. Look elsewhere if managed hosting is required now or if you need AI answers without supplying a key.
