Overview

Scribe converts workflows into step-by-step guides and process documentation. Chrome and Edge extensions capture web processes, and its desktop app works with desktop applications across multiple monitors. Mobile and tablet users can upload screenshots or images, rather than relying on the same capture flow. That makes Scribe relevant to teams documenting mixed environments, but the free Basic plan is limited to web apps.

Guides can be shared by email, embedded in knowledge bases or uploaded to help centers. Reporting on views, completions, viewer activity and feedback gives teams a way to assess whether instructions are being used. Scribe also offers API and MCP options for providing workflow context to AI tools. Its core guide creation does not use AI; supporting AI features use third-party services, and Enterprise customers can opt out of those features.

Key features

Editing and distribution

Editors can generate titles and descriptions with AI, add branding, GIFs, formatted text, tips and alerts, and edit screenshots. These controls help process owners refine a captured sequence into documentation that fits company conventions. Pro Personal is the entry point for company branding and screenshot editing; Basic offers quick customization but not those paid-plan capabilities.

Email sharing, help-center uploads and knowledge-base embeds give teams several ways to distribute guides. Featured integrations include Confluence, SharePoint, Microsoft Teams, Slack, Salesforce Knowledge, Zendesk, HubSpot, Copilot, Claude, ChatGPT and Cursor. Scribe says teams can provide workflow context to AI tools through MCP or API, with documentation for both.

Redaction, permissions and compliance

Scribe supports automatic, manual and admin-enforced screenshot redaction. Security controls include authenticated viewers, role-based access, custom permissions, SSO, SCIM, domain control, activity audit logs and IP whitelisting. It lists SOC 2 Type II, US state privacy laws, HIPAA, FERPA and GDPR among its compliance areas. That breadth makes it a stronger fit for teams with access and privacy requirements than a bare guide recorder, though Enterprise is the plan that names auto-redaction of PII and PHI, SSO, user roles and data governance.

Pricing

Scribe is freemium. Basic costs 0.00 USD per free and covers any web app, quick customization, and sharing by link or embed. It is a practical starting point for browser-based documentation, but does not include the stated desktop and mobile app support, company branding, screenshot editing and redaction, or export formats of Pro Personal.

Pro Personal starts at 1 seat. Its plan entry gives a price of 3525.00 USD per month, while the billing terms say $35 monthly or $25 per seat per month yearly. It adds web, mobile and desktop app support, branding, screenshot editing and redaction, plus PDF, HTML and Markdown export. It suits an individual process owner or a team beginning with one paid seat that needs cross-platform capture or portable files.

Pro Team starts at 5 seats. Its plan entry gives a price of 1713.00 USD per month, while the billing terms say $17 monthly or $13 per seat per month yearly. It includes Pro Personal features and comments, so it is aimed at teams collaborating on guides; the five-seat minimum makes it a poor fit for a small group needing just one paid account.

Enterprise has custom pricing. It adds auto-redaction of PII and PHI, SSO, user roles, data governance, central user and document management, and language translations. Those controls suit organizations with governance needs, but custom pricing requires a separate budget decision.

Platforms

Scribe supports API, browser extension, macOS, web and Windows. Its site links to Windows and Mac desktop apps and Chrome and Edge extensions. That mix is useful for teams documenting browser and desktop work; mobile and tablet users can contribute through image or screenshot uploads.

Who it's for

Scribe fits teams documenting processes and SOPs, training colleagues, implementing software, onboarding new hires or powering AI agents. It is especially compelling when guides need to move into existing knowledge tools and teams want reporting on reader activity. Teams that only need a free browser-based guide workflow can start with Basic; those needing self-hosting or an open-source knowledge base should consider other tools instead.

Pros and cons

Broad capture options: browser extensions and desktop capture cover web and desktop procedures, while mobile and tablet users can contribute screenshots.
Useful distribution and reporting: email, embeds and help-center uploads are paired with views, completions, viewer activity and feedback.
Meaningful privacy controls: multiple redaction methods and access controls help address sensitive screenshots and restricted audiences.
Free tier is web-focused: teams needing desktop or mobile app workflows, branding, redaction or exports must move to Pro Personal.
Seat floors affect cost: Pro Team requires five seats, while Enterprise uses custom pricing.
AI distinction matters: core guide creation is non-AI, while supporting AI features use third-party services; Enterprise customers can opt out.

Alternatives

For an open-source, self-hosted option with unlimited users and documents, consider CompassDocs; its Community plan is free, but support is community-based. ITFlow is another free, open-source self-hosted option. If a free, self-hosted IT service management platform is the priority, iTop offers a free, unlimited Community plan.

For teams looking at service-desk software, Zoho Desk has a free plan for three users. FreeITSM is a free self-hosted option, while DemandFlow ITSM is a paid API- and web-based alternative. GLPI offers both self-hosted and cloud options and has a free trial. Hornbill IT Asset Management uses personalized pricing tailored to requirements.

Verdict

Choose Scribe if your team needs a fast route from web or desktop workflows to edited, shareable guides, especially when distribution controls and completion reporting matter. Its main reason to choose is that end-to-end documentation workflow; look elsewhere if you need an open-source, self-hosted platform or if the five-seat Pro Team minimum and paid cross-platform features do not suit your team.
