Overview

Mosaic is an AI-powered platform for planning projects, assigning people and forecasting work. It is best suited to project-based businesses that need resource planning alongside project and budget reporting. Its breadth is a strength, but custom pricing and paid add-ons mean teams should weigh the full cost of guests, contractors and integrations.

Key features

Mosaic connects portfolio planning with day-to-day project work: teams can manage tasks, dependencies, schedules, scope, notes and templates, then coordinate staffing through member and project planners, workload views and capacity planning. Daily planning granularity and resource requests support detailed allocation; skills matching and scenario planning extend that work beyond a static schedule.

Its AI can suggest projects for available people and people for roles, and provide scenario analysis and forecasts. These capabilities target the staffing decisions project-based firms make as demand shifts; they are less relevant to teams seeking only task tracking.

Reports cover utilization, workload, role demand, timesheet status, budget tracking, and time and budget variance. Professional adds workload, utilization, budget and variance reports plus shareable dashboards; Enterprise adds hiring and forecasting reports. That tiering makes the progression useful for firms moving from project visibility to broader resource and hiring forecasts.

Mosaic lists integrations across calendar, communication, CRM, ERP and financial, HR, project management, spreadsheet and time-tracking categories. Integrations not listed can use the two-way Open API integration. This offers a path to fit Mosaic into an existing stack, although integration charges may apply. Security credentials include SOC 2 Type I and Type II, STAR Level 1 and GDPR; listed controls include SSO, MFA, AWS WAF monitoring and protection, and Istio Kubernetes observability and security.

Companion apps are available for iOS and Android. Support includes onboarding, training, live chat, a help overlay, follow-up Q&A, written documentation, integration training and product update videos. That support breadth should help teams adopting a broad planning system, rather than a single-purpose scheduler.

Pricing

Mosaic is paid, with custom pricing; a free Starter plan is also offered. No plan price is provided for Starter, Professional or Enterprise, so teams should request a quote and account for extra charges when comparing tiers.

Starter: Free task management, portfolio management, time tracking and timesheets, project and resource planning, iOS and Android apps, and three free project guests. It gives small teams a no-cost way to start planning, but lacks the Professional reporting and integration inclusions.
Professional: Includes Starter features, basic integrations, project time budget tracking, workload, utilization, budget and variance reports, shareable dashboards, and up to 10 project guests. It fits teams that need operating and budget visibility, though guest capacity is capped.
Enterprise: Includes Professional features, hiring and forecasting reports, custom integrations and project data fields, premium support, unlimited project guests, SSO and two-factor authentication. It is the better fit for organizations needing tailored integration or broader guest access, but requires custom pricing.

Additional guests cost $1.99 per month, and external project contractors with work plans cost $4.99 per month. Integrations may also incur additional charges. Those costs matter for firms that collaborate widely with clients or contractors, even when the core plan fits.

Platforms

Mosaic supports web, iOS and Android, and offers an API. Mobile apps extend access beyond the browser, while the two-way Open API integration gives teams a route for integrations they need but do not find among Mosaic's listed categories.

Who it's for

Mosaic is aimed at project-based businesses, including architecture, engineering, consulting and creative services. It makes the most sense where people move among projects and managers need to coordinate capacity, staffing, workload and budgets in one system. Teams that only need basic task lists, or that cannot justify custom pricing and possible add-ons, should look elsewhere.

Pros and cons

Pro: Planning, staffing, capacity, scenario analysis and project reporting sit in one platform, reducing the need to manage those decisions as disconnected workflows.
Pro: A two-way Open API integration provides an integration route beyond the listed categories.
Pro: Starter includes planning, timesheets, mobile apps and three project guests at no charge, giving teams a way to begin without a paid commitment.
Con: Professional is capped at 10 project guests, while extra guests and external contractors with work plans carry monthly charges.
Con: Custom pricing and possible integration charges make total cost harder to assess before requesting a quote.

Alternatives

Resource Management Software and Capacity Planning Software are useful starting points for comparing tools by those needs.

Choose Teamdeck if a freemium option with a free plan and trial, plus a Startup tier for up to six team members at 0.00 USD per free, better fits a small team's entry point.

Napta is another paid option available on web and mobile.

Consider Tempus Portfolio if a free trial and pricing tailored to planning needs, team size and implementation goals suit your evaluation process; it has no free plan.

EG Silverbucket offers a paid subscription priced by active people in the resourcing pool, with archived users excluded and all features included; it also has a free trial, but no free plan.

eResource Scheduler has a free trial and paid resource-based options, including Authentication Plus at 2.00 USD per month per resource for single sign-on and two-factor authentication.

Meisterplan is worth considering if resource-based licensing and unlimited users are a better fit; it has a free trial but no free plan.

Tempo Portfolio Manager may suit teams that want a free tier with 10 members, three projects and 300 tasks; its Essentials plan is 15.00 USD per month for one user per month and includes 50 projects and 5,000 tasks.

LibrePlan is the alternative to consider for open-source, self-hosted project planning through its Community Edition, which has no license fee.

Verdict

Mosaic is a strong fit for project-based firms that need to plan work and people together, with forecasting and reporting extending that view into staffing and budgets. Choose it for that joined-up planning depth; look elsewhere if you need clear upfront pricing, few guest charges or only straightforward task management.
