Overview

TrustLayer manages vendor compliance documents, from collection and reminders to verification and reporting. It suits teams that need to track insurance and other records across vendors, particularly those already working in Procore or QuickBooks. Its free Starter plan makes it accessible to small teams, while larger operations can add integrations, reporting and managed risk services.

Key features

TrustLayer automates requests, collection, storage and follow-up for common compliance records. It can track certificates of insurance, W9s, business and professional licenses, driver licenses, contracts and custom documents, and sends reminders when documents expire. That breadth is useful when vendor compliance extends beyond insurance, though the value depends on whether teams want a dedicated system for these workflows.

Compliance Assistant and Compliance Analytics provide visibility into compliance status. Pulse offers policy-level proof of insurance, while TrustLayer Plus adds full-service outsourced risk management. Vendors can work with TrustLayer without signing in; brokers receive access, and project managers can use instant linking. These access options reduce friction for external parties, while the outsourced service is aimed at teams that need more than software alone.

Procore integration tracks certificates of insurance, W9s, professional and business licenses, and surety bonds, and syncs compliance status and system data. QuickBooks integration lets accounting teams view vendor compliance, sync vendor data and access compliance information in QuickBooks. For teams already using either platform, these connections make TrustLayer a more natural fit than a stand-alone tracking process.

The Platform API connects external applications to compliance profiles, parties, projects and documents using JSON payloads. Teams building against it should use the recommended stable v2: v1 is deprecated and scheduled for sunset on March 31, 2027. TrustLayer states that it completed a SOC 2 Type II audit administered through an independent third-party audit process.

Pricing

TrustLayer uses a freemium model, with a free plan and paid plans from $10/mo. It offers no free trial, so teams evaluating paid capabilities should account for that alongside the free Starter option.

Plan	Price and fit	What it includes
Starter	Free; free for up to 50 vendors	AI document collection and classification. Each additional vendor costs $10 per month.
Pro	Custom pricing; supports 0–1500+ vendors	BI reporting, ProCore, CMIC and Vista Viewpoint integrations, and White Glove Onboarding.
Complete	Custom pricing; supports 0–1500+ vendors	Unlimited users, up to 7 custom BI reports, and a dedicated account manager.

Starter is a practical entry point for small teams moving vendor management out of email or spreadsheets, but the 50-vendor cap and $10 monthly charge per additional vendor matter as a business grows. Pro adds reporting, integrations and onboarding for teams with broader operational needs. Complete is the clearest fit for organizations needing unlimited users and account support, though both paid plans require a custom quote.

Platforms

TrustLayer is available via API and web. It supports all modern browsers updated to their latest versions, with Chrome and Firefox recommended for optimal performance.

Who it's for

TrustLayer is best suited to businesses coordinating compliance across vendors, especially teams managing multiple document types or using Procore or QuickBooks. Starter is targeted at small teams with up to 50 vendors; Pro and Complete accommodate larger vendor counts, including 1500+ vendors. Teams that only need a lightweight record store, or have no need for vendor compliance workflows, are less likely to benefit from its broader toolset.

Pros and cons

Pros: Automated document requests, follow-ups and expiry reminders reduce manual chasing across a range of compliance records.
Pros: Vendors can work without signing in, with separate access options for brokers and project managers.
Pros: Procore and QuickBooks integrations connect compliance workflows to systems used by construction and accounting teams.
Pros: Starter is free for up to 50 vendors and includes AI document collection and classification.
Cons: Starter charges $10 per month for each vendor beyond 50, which can make growth costly for teams staying on the entry plan.
Cons: Pro and Complete use custom pricing, so teams cannot compare their costs from a fixed published rate.
Cons: No free trial is offered for evaluating paid plans.
Cons: API users need to plan around the deprecated v1 lifecycle and adopt v2 before the March 31, 2027 sunset.

Verdict

Choose TrustLayer if your team needs to coordinate vendor compliance across document types and wants integrations with Procore or QuickBooks, with a free starting point for up to 50 vendors. Its strongest reason to look elsewhere is cost uncertainty at scale: the free cap is firm, extra Starter vendors cost $10 per month apiece, and Pro and Complete require custom pricing.
