Overview

Whatfix is an enterprise digital adoption platform for teams guiding employees or customers through business software. It is best suited to organizations that need a mix of in-product help, adoption measurement, and coverage across web, desktop, mobile, or virtual desktop environments. Its breadth is compelling; custom pricing and feature differences for self-hosted deployments make plan fit an early decision.

Key features

Guidance and onboarding

Whatfix offers Self Help, task lists, Smart Tips, step-by-step Flows, Beacons, Pop-Ups, and Launchers, alongside product tours, walkthroughs, and onboarding checklists. That range gives teams multiple ways to orient users and support them in the context of an application rather than relying on one format. The no-code builder and localization support teams creating guidance for different workflows and audiences.

Adoption analytics

Product Analytics tracks user actions and application adoption, which can help teams assess how software is being used. The Standard analytics plan is free only when bundled with a DAP Web & Desktop plan, so it is not a standalone free analytics option.

Deployment and integrations

Whatfix offers cloud and self-hosted deployment. Self-hosting can suit organizations with deployment constraints, but some Standard and Premium features may not be available in that setup; buyers should confirm required capabilities before choosing it. The integrations directory includes Salesforce, ServiceNow, Confluence, Workday, Microsoft Azure, Amplitude, and Power BI, giving teams named options across business applications and analytics tools.

Pricing

Whatfix is paid, with pricing on request. Subscription cost combines a flat product and plan fee with user-license fees based on employee user counts or customer-facing monthly active users, so the relevant audience and scale affect the quote.

Product Analytics Standard: 0.00 USD per free, exclusively bundled with any DAP Web & Desktop plan. It provides a no-cost entry to analytics for those buyers, not a separate free plan.
DAP Web & Desktop Standard: custom pricing for employee- or customer-facing apps. Integrations are limited to 2, making this the constrained option for teams that need only a small number of connections.
DAP Web & Desktop Premium: custom pricing for employee- or customer-facing apps, with cloud or self-hosted deployment. Self-hosted buyers should verify which Standard and Premium capabilities carry over.
DAP Web & Desktop Enterprise: custom pricing for multi-app employee- or customer-facing plans, aimed at organizations rolling out guidance across more than one application.
DAP Mobile Standard: custom pricing for employee- or customer-facing apps. It is the named mobile plan, while Whatfix Mobile supports a range of native and cross-platform frameworks.

Whatfix offers a free plan and a free trial, but the free analytics offer is tied to a Web & Desktop subscription. Plan-specific trial length, seat quotas, renewal terms, and free-plan caps are not provided here, so they should be confirmed during the buying process.

Platforms

Whatfix supports Android, iOS, web, macOS, Windows, browser extensions, APIs, and self-hosted environments. Whatfix Mobile supports native, React Native, Xamarin, Cordova, Flutter, and Ionic apps on Android and iOS. Desktop application and virtual desktop support includes environments such as Citrix and Azure Virtual Desktop, giving it a broader deployment surface than a web-only adoption tool.

Who it's for

Whatfix is a strong fit for enterprises that need to support software adoption across employee-facing or customer-facing applications and want both in-product guidance and adoption analytics. It is also relevant when mobile frameworks, desktop applications, virtual desktops, or self-hosted deployment matter. Smaller teams seeking transparent per-seat pricing or a clearly independent free tier may find the quote-based structure harder to assess before speaking with sales.

Pros and cons

Pro: A wide menu of guidance formats, from Self Help and task lists to Flows and tours, lets teams match help to different user tasks.
Pro: Analytics is bundled free with a Web & Desktop plan, linking adoption measurement to the guidance platform without a separate analytics charge.
Pro: Mobile framework coverage plus desktop and virtual desktop support suits organizations with software estates beyond the browser.
Pro: Cloud and self-hosted deployment offer a choice for organizations with different hosting requirements.
Con: Pricing is quote-based and varies with product, plan, and user-license counts, making direct budget comparison less straightforward.
Con: Standard Web & Desktop limits integrations to 2, and self-hosted deployments may lack some Standard and Premium features.
Con: The free analytics plan is conditional on buying a Web & Desktop plan, so it does not offer a standalone no-cost route into the product.

Verdict

Choose Whatfix if your organization needs in-product guidance and adoption analytics across a varied software estate, particularly when mobile, desktop, virtual desktop, or self-hosting support matters. Its main advantage is the breadth of formats and environments in one platform; look elsewhere if a transparent price, an independent free tier, or guaranteed feature parity for self-hosting is more important.
